TCO (Total Cost of Ownership)
The full cost of a technology decision over its useful life — purchase price plus every ongoing cost of running, maintaining, integrating, and eventually replacing it — not just the sticker price or subscription fee.
TCO exists because the purchase price or subscription fee of a piece of software or hardware is rarely the biggest number in the decision. Implementation time, staff training, ongoing maintenance, integration work to connect it to everything else, support contracts, and eventual replacement or migration cost all belong in the same calculation — a cheaper up-front tool that takes twice as long to implement and needs a part-time admin to maintain can easily cost more over three years than a pricier one that doesn't.
For software specifically, integration cost is often the hidden line item. A point tool that does one job well but needs to be connected to three other systems via custom integrations — each with its own maintenance burden, each a potential point of failure — carries an ongoing TCO that rarely shows up on a vendor's pricing page.
MSPs run this calculation twice: once for their own internal tool stack, and once implicitly for clients, since the value proposition of managed services is itself a TCO argument — a flat monthly fee that includes proactive maintenance is being sold, explicitly or not, as a lower total cost than the alternative of ad hoc break-fix support plus the cost of the downtime and risk that comes with it.
